From the Paper Appointment Book to an Online Booking Page: How to Make the Switch

If the paper appointment book is still sitting on your counter, you are not alone. The book has real merits: it never crashes, its battery never dies, and nobody charges you a monthly fee for it. But it carries a cost it cannot show you, and that cost usually appears the moment the phone rings.

What the paper book actually costs you

Picture the scene: blow dryer in your hand, your client's hair half finished, and the phone starts ringing. You have three options. You do not answer, and the caller rings the next salon. You stop working and answer, and the person in the chair waits. Or you scribble something into the book with a gloved hand and cannot decipher it that evening.

Calls that come in after you close never get recorded at all. And yet those are exactly the hours when people think about booking: off work, dinner eaten, phone in hand. You do not know how many bookings you miss while closed, because you cannot count what you never received.

Then there are double bookings. Writing two names into the same slot is easier than you think, especially when two people write in the same book, or when a booking taken over the phone waits to be transferred later.

All of this comes down to one thing: an empty hour never comes back. What you actually sell in this business is time. The chair, the staff, and the hours in that day. If nobody came at two o'clock on Tuesday, you cannot sell that hour twice next week. That is why a reliable booking record matters more than anything in the till.

What an online booking page actually is

Let us clear up a common confusion: this is not a mobile app. Your client does not have to download anything, register, or choose a password. Your salon gets a web address. You put that address in your Instagram profile, your WhatsApp business profile, and your Google business listing. The client taps the link, picks a service, picks a staff member, picks one of the open slots, enters a name and phone number, and it is done.

Three settings to get right before you switch

Whether online booking helps you depends entirely on three pieces of information behind it being correct. Rush this part and the system will create more work for you than the book did.

1. Services and their real durations. Write down how long each service actually takes, not how long it should take. If a haircut takes forty minutes, do not write thirty. The system calculates open slots from these durations; understate them and you manufacture a delay that compounds through the day. Include cleanup and preparation time.

2. Staff and who does what. Define each staff member separately and mark which services they perform. That way a keratin booking never lands on someone who does not do keratin. Clients can also choose the person they normally see, which matters far more in salons than people assume.

3. Working hours. Opening, closing, days off, lunch break. Every open slot the system displays is a promise; when a client picks it, the salon needs to be open.

Getting these three right will probably take you an hour. In return, you stop having most of those "that slot is taken, how about this one" phone conversations one at a time.

Where does a booking land?

A booking from the page lands in the panel's calendar and first enters the pending approval list. So leaving the page open does not mean giving up control. You look at the booking and approve it if it works. The confirmation email goes to the client automatically at exactly this point.

Let us be honest here, because there is a lot of inflated marketing about this: that confirmation email is a genuinely working feature and it goes out the moment you approve. However, scheduled messages such as "send a reminder the day before" do not exist in LionaTab. We are writing this plainly, because the worst surprise salon owners get is from systems that promise reminders and never send them: they assume the message went out and never call the client. If you are going to remind people yourself, do it knowing that you are the one doing it.

You can view bookings by day and by week and change their status between pending, confirmed and completed. Completed bookings are written to the client's record. So six months later, the answer to "what did she have done last time" is on the client's card, not in the old pages of a notebook.

How to manage the transition

Do not throw the book away overnight. The sequence that works in practice:

  • For the first week, write into both the book and the panel. Compare them at closing; if something does not match, you will see where it came from.
  • Put the booking link in your Instagram bio and WhatsApp business profile. Start telling callers, "let me send you the link, pick whatever time suits you."
  • Enter phone bookings into the panel yourself. Do not force clients; the habit shifts on its own.
  • Close the book at the end of the second week. If you do not, the first day the two records disagree is the day you stop trusting both.

If you have more than one branch

Each branch is defined separately with its own staff, services and working hours. You switch between branches in the panel. There is also a comparison report that puts branches side by side: how many bookings each took, how revenue is distributed, what the expenses were. Seeing that on one screen lets you settle the "why is this branch behind" argument with numbers instead of instinct.

The bottom line

Moving to online booking will not magically bring you more clients. What it does is more modest and more solid: it stops you losing the demand you already have. It captures the booking that arrives while you are closed, prevents double bookings, and records who came and when. Which is precisely what the paper book could never do.
